Who we are

Where used in this Policy, "Bakkavor" means Bakkavor Group plc, or any of its subsidiaries or related companies. For the purposes of applicable legislation, including the EU General Data Protection Regulation, as amended or supplemented (the “Data Protection Laws”), the Bakkavor company that you have dealings with is the controller of your personal information. Alert Service

The personal data of individuals that register for our Alert Service is held and managed on our behalf by Investis Limited.

In registering for the alert service you will provide us with your name, occupation and email address. We collect and store this personal information to enable us to send you relevant communications that you registered to receive.

The personal information we hold may be shared with companies who process personal information on behalf of Bakkavor, such as our website manager Investis Limited. The personal information we hold may be transferred to, and stored at a country other than your country of residence, including countries outside of the EEA. Where we transfer information to Bakkavor Group companies or other parties outside the EEA, we will ensure that these take place in accordance with Data Protection Laws.

In accordance with the Data Protection Laws, our legal basis for collecting and storing personal information about you is that you have given your consent to receiving these alerts.

Website - Cookies

When you visit Bakkavor Group plc’s Website, the web server collects some basic information such as your browser type, IP address, internet service provider’s domain name, which pages you accessed on the site, and when. Details of cookies that Investis uses on the Website can be found on the Cookie notice.

Bakkavor Group plc use this information to provide you with and maintain the quality of the website and to analyse the use of the website in order to help guide improvements. We don’t match cookie data to any personal identification. Bakkavor Group plc may also collect anonymised details about visitors to the Website for the purposes of aggregate statistics or reporting purposes. However, no single individual will be identifiable from the anonymised details collected for these purposes.

Shareholders

The personal details of all our shareholders who hold shares directly, or details of the nominee accounts in which some retail and institutional shareholders hold their shares, are held and maintained by Bakkavor’s registrar, Equiniti Limited. Shareholder information is collected and maintained on our behalf for the purposes of:

  • complying with our regulatory and legal obligations;
  • communicating with shareholders (including the mailing, in physical or electronic format, of Annual Reports, AGM or EGM notices or proxy cards, or communications in relation to other corporate actions); and
  • facilitating the payment of dividends.

The personal information we hold about shareholders may be shared with:

  • companies who process personal information on behalf of Bakkavor, such as our shareholder registrar, Equiniti Limited, and providers of cloud hosting solutions;
  • professional advisors, such as accountants, lawyers, proxy advisers or other consultants; and
  • other companies in the Bakkavor Group.

We keep your information for the period you are a shareholder and afterwards for no longer than is necessary for the purposes for which the personal information is processed. To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of your personal data, the potential risk of harm from unauthorised use of your data, the purposes for which we process your personal data and whether we can achieve those purposes through other means and the applicable legal requirements.

Suppliers

If you are a supplier or prospective supplier to Bakkavor Group plc we will store limited amounts of personal information relating to you, including your name, job title, qualifications, employer organisation and contact details. Individuals completing the prospective supplier form will be asked to provide this information for a member of each of their sales and technical teams and it is your responsibility to ensure you have appropriate consents to do so. We will store this personal information for the purposes of:

  • undertaking an evaluation on prospective suppliers to ascertain if we would enter into a contractual arrangement; and
  • administering and maintaining records of services, advice or goods we have received, and commissioning further services or making further purchases;
  • administering the contract and fulfilling our contractual obligations

  • to opt out of any marketing communications that Investis and/or Bakkavor Group plc (or any third party to whom they have disclosed your personal information with your consent) may send you;
  • To request erasure of your personal information;
  • In certain circumstances, to object to processing;
  • To request the restriction of processing of your information e.g. whilst we check it’s accuracy;
  • To request the transfer of your personal information to another party.

Any requests should be made in writing to dataprotection@bakkavor.com. Please note that Bakkavor will require specific information to help us confirm your identity to ensure that the person making the request is entitled to do so.

You also have the right to complain about the use of your personal information to the Supervisory Authority, which in the UK is the Information Commissioner’s Office (www.ico.org.uk).

Accuracy & Security

Bakkavor will take all reasonable steps to keep your personal information accurate and, where necessary, up to date. If you believe that any of the information that Bakkavor holds about you is incorrect please notify us at dataprotection@bakkavor.com.

Bakkavor will take all reasonable steps to protect the confidentiality and security of your personal information, but cannot guarantee the security of any data you disclose online. You accept the inherent security risks of providing information online over the Internet and will not hold Bakkavor responsible for any breach of security unless this is due to Bakkavor’s negligence or wilful default.
